Athletic Administrative Assistant
The athletic administrative assistant is a part-time employee who reports to the director of athletics and works in partnership with the athletic department staff to support, assist, and serve the Wesleyan community.
RESPONSIBILITIES
Website/Blackbaud
- Enter all competitions in Blackbaud for all teams and make schedule changes as they occur.
- Enter all scores in Blackbaud.
- Update state championships, team accomplishments, school records, and alumni athletes on the website.
- Update coaches on Blackbaud for team pages and coaches (from athletics web page).
- Enter rosters and jersey numbers (if applicable).
Game Management
- Coordinate ticket sales and gates for all home events as needed. Schedule games in Go Fan.
- Secure clock operators for all home varsity basketball games.
- Count gate money and prepare GHSA financial reports.
Ordering/Logistics
- Coordinate and order all awards for end of season banquets through All American Specialties.
- Update and order banners, pennants, and magnets for Yancey and Marchman Gymnasiums.
- Assist in Senior Night – ordering flowers, proofing bios, and organizing line-up for each season.
- Coordinate and order senior blankets for Senior Honor’s Day.
- Order patches for letter jackets for State Champions, Final Four, Region Champions, etc.
- Order letters, bars, and inserts annually for all sports and maintain inventory supply for school year.
- Order State Championship plaques for winning teams to be displayed in Yancey Gymnasium.
- Order office supplies when needed.
- Print certificates for all teams and coordinate letters and bars for end of season banquets. Order certificates when needed.
Athletic Department Responsibilities
- Prepare and send out Weekly Athletic Schedule.
- Manage calendar for director of athletics.
- Create and mail contracts for football, basketball, baseball, and wrestling.
- Register and submit payment to GACA for all head coaches and athletic staff.
- Assist coaches in logistics for home tournaments, region, and state competitions.
- Reserve hotel rooms for state competitions.
- Assist athletic director and assistant athletic directors as needed.
QUALIFICATIONS
- A strong grounding in the Christian faith and solid understanding of the role of athletics within the school, particularly as it relates to the Christian mission of the school.
- Strong oral and written communication skills.
- Effective organizational skills and attention to detail.
- Team player and encourager; a willingness to serve with a glad heart.
